Custom Settings: Link Course to Campaign

Link Course to Campaign 

This setting controls whether or not a course is also linked to a Salesforce-native Campaign record. You would create this link to enable the Campaign Member list email, for easy sending of email to students or other Campaign-based management, typically around marketing and communications activities.

Impacts:

 The creation and linking of Campaign records on create or edit of a Course; the creation of Campaign Member record on either new Course Enrollment or the first Attendance for a student.

Default Behavior: 

Campaigns are NOT created by default.

Behavior when setting is changed to Enrolled:

When a new course is created, or a course is edited but has no value in the Linked Campaign field, a new Campaign record will be created and linked to the Course.

  • When a new Course Enrollment is created, the student will be put into the linked campaign as a Campaign Member with a status of Enrolled (or whatever your local Enrollment value is).

  • If the Course Enrollment status changes to anything other than Enrolled / your local Enrollment value, the Campaign Member status will be updated to “No Longer Enrolled.”

Behavior when setting is changed to Attendance:

When a new course is created, or a course is edited but has no value in the Linked Campaign field, a new Campaign record will be created and linked to the Course.

The first time the student is marked as Attended (or whatever your local Attended value is) their contact record will be put into the linked campaign as a Campaign Member with a status of Attended.

Example For Using The ENrolled Setting:

It is most common to use Enrolled for this functionality. Most RC users want to have easy access to email a course roster, and as long as the instructor or person who is doing the emailing can access the Campaign object this is one of the easiest ways to do that.

Example For Using The Attendance Setting:

Some organizations use RollCall mostly for single-day courses or lightweight event management. If they want to be able to email anyone who attended a particular event, or simply have them easily trackable, Campaigns is a great way to do that.

To use this setting, you would:

  1. Decide which setting is right for you. NOTES:

    1. You cannot choose to have some courses link based on attendance and others based on enrollment, this is an org-wide setting.

    2. Users who have Salesforce Platform or any type of Community / Experience Cloud license will not be able to click the “Email Students from Campaign” button because they cannot access Campaigns. These users can still create courses and enrollments and take attendance, they simply cannot see the Campaigns and Campaign Members that were created through their actions.

  2. Find the Link Course to Campaign custom setting and change it to Enrollment or Attendance as desired.
