Systems Administrator Guide to RollCall

Admin Guide for RollCall 4 Standard Edition

RollCall is designed to work exactly as you see in the videos immediately upon install. But you can configure it pretty extensively. This article is your “getting started” guide to all things a systems administrator with access to Salesforce Setup might want to do with RollCall.

If you are a systems administrator in the EDA environment, your documentation is coming soon.

Overview of Customizations That Use Custom Settings

RollCall uses Custom Metadata to control many different settings. There are two RollCall-delivered areas of Custom Metadata: RC Configs and RollCall Aggregation Configs, both of which are covered in this documentation.

  • This article shows you how to get to the custom settings and edit them, and provides a full list of all RC Configs custom settings with links to their documentation. These are also linked by topic below.

Updating the Picklist Values on Session, Course Enrollment, and Attendance

Sometimes the terms “Attended,” “Enrolled,” “Dropped” and other default RollCall picklist values don’t work for your organization. These values can of course be easily changed like any other picklist value in Salesforce. Read the linked article to review the related custom settings and ensure automations continue to behave as expected when you make a change.

Changing the Way the Calendars Look

You can control the calendar presentation in many different ways, through custom settings and formula fields.

Managing Aggregations for Reporting

RollCall provides no-code methods to roll up data from any RollCall object to any other. This helps when you need to manage attendance statistics in a manner unique to your organization.

Customizing the Take Attendance Screen

The Take Attendance screen is customized in part via custom settings and in part through Field Sets. You can add fields to your Take Attendance screen without any code, and you can control the sorting.

Setting Up A Link Between Courses and Campaigns

You can set up RollCall to automatically create a campaign and campaign members for easier use of list email and other communications and reporting functionality that is commonly found in Campaigns. Full details are found in this article.

Controlling The Automations

RollCall comes with pre-built automations and almost every part of the Flows that are delivered can be managed with custom settings to turn functionality on and off. This allows you to localize parts of the automation (like autonaming) without having to rebuild the whole Flow. You can also download the unmanaged package versions of the Flows as a jump-start to your own local automations - please note that these aren’t supported as part of your license fee so you’d need to pay an hourly rate for support with our sister company Deep Why Design if you do go this route.
